This is issue #49 of Taskflow Tuesday, where I share 3 things to help you get digitally organized so you have more time to focus on what truly matters.
🛠️ 1. How I Recommend Systemizing Any Small Business
Let me guess…
There’s a task only you know how to do.
There’s a process that only one team member has mastered.
And if that person leaves, you’re scrambling.
Sound familiar?
Most businesses grow before they ever build systems.
That’s totally normal. But eventually, it catches up with you.
There’s too much friction and things fall through the cracks.
People are waiting on you for answers that should live somewhere else.
Here’s the simple solution:
Capture as you go.
Use Loom to record your screen when doing anything repeatable (client onboarding, file delivery, reporting, etc.).
Store it in a central location.
I recommend Notion. Create an SOP (Standard Operating Procedures) Library and organize each process by team or function.
Build it over time.
You don’t need to systemize your whole business in a weekend.
Just hit “record” next time you do the task.
Over time, this becomes a living library of how your business runs, so no process lives in someone’s memory alone.
It also makes training, delegation, and onboarding way easier.

📵 2. Stop Your Phone from Demanding Attention
If your phone screen lights up every time you move it, even when you’re not trying to use it, you’re being pulled into distraction more than you realize.
Go to: Settings > Display & Brightness > Toggle off “Raise to Wake.”
It’s a small change, but it keeps your screen dark unless you intentionally turn it on.
Fewer interruptions. More focus.
✍🏼 3. Redefining Your Productivity
Most people inherit their definition of productivity without realizing it.
They think it’s about working faster. Doing more. Checking all the boxes.
But true productivity is personal. It has to match your values, goals, and season of life.
Here’s a simple framework to help you define what it actually looks like for you:
Start with your values.
What do you want more of in your life right now: peace, margin, money, purpose, health, connection?
Choose a direction, not a speed.
If productivity isn’t getting you closer to what matters, it’s just busyness. Go slower if you need to, but point your energy in the right direction.
Design systems to support you.
Don’t copy someone else’s workflow. Create routines and systems that reduce friction for your actual life.
Define productivity for yourself, and take consistent action to accomplish what you’ve defined as success.
